Batch modifying and publishing assets using ‘Batch Modify’

Assets can be modified individually or in batches via the ‘Batch Modify’ tool.

Filtering assets before modifying

Batch modifying multiple “Assets”

  1. Select the asset folder.
  2. Check the “Select All Items” checkbox, or
  3. Select multiple assets individually by ticking the checkboxes.
  4. Right-click any asset and select the “Batch Modify” tool.

You will be presented with a new dialog box:

Providing information in any of the fields above will update the properties in the selected assets only. Note also that fields left blank will leave the original properties unchanged. 

The following table describes each of the different Batch Change values and how they function on update. Note that entering data in the fields will overwrite any existing data.

Batch Values Description

Member permissions

Select individual or multiple member groups to be assigned to the asset.

Categories

Select categories from the left column that you would like to assign to the asset. Remove categories from the right column by clicking the ‘X’ remove button.

Category Update Mode

If set to “Append”, the selected categories will be added to the assets’ existing category sets. If set to “Replace”, the selected categories will replace the existing categories.

Brand

Select the “Brand / Sub-brand” associated with these assets.

File Format

Select the “File Format” associated with these assets, e.g. Logo, Video, Illustration etc.

Keywords

Separate, keywords, and phrases, by, comma.

Keyword Update Mode

If set to “Append”, the entered keywords will be added to the assets’ existing keyword sets. If set to “Replace”, the entered keywords will replace the existing keywords.

Comments

Multi-line text field.

Comments Update Mode

If set to “Append”, the entered comments will be added to the assets’ existing comments fields. If set to “Replace”, the entered comments will replace the existing comments.

Update

Updates the assets with the new data.

Close

Closes the dialog box without making any changes.

  

Batch modifying multiple “Asset Versions”

  1. Select the asset (node).
  2. Check the “Select All Items” checkbox, or
  3. Select multiple asset versions individually by ticking the checkboxes.
  4. Right-click any asset version and select the “Batch Modify” tool.

You will be presented with a new dialog box:

Batch Values Description

Dimensions

Enter a dimension in the text field (if any).

Orientation

Select the “Orientation” associated with these asset versions.

Colour

Select the “Colour” associated with these asset versions, e.g. RGB, CMYK etc.

Related Guidelines page

Only add “Related Guidelines pages” if you want the asset to appear with a link to an individual guidelines page. These are the pages that provide additional guidelines information on the actual asset (if any). E.g. you may want users to view the Masterbrand logo page relevant to the logo they are about to download.

Guidelines Update Mode

If set to “Append”, the entered pages will be added to the assets’ existing pages. If set to “Replace”, the entered pages will replace the existing pages.

Update

Updates the asset versions with the new data.

Publish?

Drop-down list with two choices: “Publish” or “Unpublish”. Do not make a selection if you wish to retain the existing assets’ Publish/Unpublish settings. Note that publishing the assets make them available in the Asset library frontend for viewing.

Close

Closes the dialog box without making any changes.
