Follow the steps below to create an Asset Version within an Asset.
Create an Asset Version
- Right-click an existing Asset node and click Create.
- Type in a name for the Asset Version and select Asset Version as the media type.
- Click Create.
Enter the asset version Properties and upload your document
Now it’s time to define the asset version properties and to upload your document.
- Upload an image thumbnail or Preview image (see visual below). This is the preview thumbnail image that represents the document and that will be displayed in the Asset library.
- Upload the file/document under Version File. This is the actual asset and can be any file type.
- Enter your document Dimensions. For clarity, ensure you add pixels, cm, mm etc.
- Select an Orientation.
- Select a Colour (RGB, CMYK, PMS, PMSU or BLACK/GRAY). Note that depending on your particular configuration, B&W images may be BLACK.
- Add any Related Guidelines pages. These are the pages that provide additional guidelines information on the actual asset (if any). Ie. you may want users to view the Masterbrand logo page relevant to the logo they are about to download. More info on Related Guidelines pages below.
- Click the Save button.
Once saved, the asset/document is public and visible to whoever has access to view it. For more information on assigning assets to particular member groups, view the Create an Asset page (under Member Group permissions).
Related Guidelines page
Note: The Related Guidelines page is only relevant if you want the asset to appear with a link to an individual guidelines page. These are the pages that provide additional guidelines information on the actual asset (if any). Ie. you may want users to view the Masterbrand logo page relevant to the logo they are about to download.
To add a Related Guidelines page to an Asset Version (see item 6. in the visual above):
- Navigate to the Related Guidelines page element.
- In the left-hand ‘Select Items’ pane, use the arrows to find the node/page you would like to add.
- Click on a node/link in the left-hand pane to add the page to right-hand pane. You can select as many pages as you wish.
- To remove pages, simply click the red X.
- Remember to click the Save button.
A note about Asset Versions
It is important to understand that Asset Versions are not two different file type endings of the same document (ie. ‘Logo.jpg’ and ‘Logo.png’ are not considered two different Asset Versions of the same Asset. In this case, they are separate Assets).
Multiple Asset Versions appear in an Asset type only if there are old (disused) versions of the asset that you want to remain hidden in archive.
Remember to unpublish the old Asset Version if it is superceded by a new version.
- To unpublish an old Asset Version, simply click the toggle to Unpublished.
- Remember to click the Save button.
