Exporting members

Brand Toolbox allows you to export your entire member database to an Excel spreadsheet or CSV file.

The exporter allows you to filter your member lists by Member GroupApproved, Locked Out and Rejected statuses. You can then choose to export all properties or a specific property set.

Note – In order to export members, you must also be assigned to the Sensitive data User Group, as per the visual below.

A note before filtering and exporting.
In some instances, particularly on large member databases, the members list may not show all the latest member data.

Therefore, before filtering or exporting, it is usually beneficial to refresh the member database. We have provided a “Refresh Members” button to do this:

However, note that for large member databases (3,000+ members), rebuilding the database may take several minutes. Therefore, once the “Refresh Members” button is clicked, please wait until the page refreshes and reloads.

Filter members

Before exporting, it may be useful to filter members into groups or membership status. For example, you may want to limit your export list to ‘active’ members only and not show ‘suspended’ members.

To filter members:

  1. Go to the Members section of the backoffice Admin area and select the Members folder.
  2. You will be presented with the full member list in the right-hand edit area. If you don’t see the ‘Manage’ tab, you have selected the wrong member node. Ensure the ‘Members’ folder in the tree is selected and not the child nodes within it.

  3. Click the Filter button to refine the list. You have multiple options:

    • Search: Refine results with keyword search.
    • Member Groups: Choose single or multiple member groups.
    • Approved: Refine by AllApproved Only or Suspended Only.
    • Locked Out: Refine by AllLocked Out Only or Active Only.
    • Rejected: Refine by All, Rejected Only or Not Rejected.
  4. Click the Apply Filter button.
  5. After the filter has been applied, you will see the filter values presented with the Clear filter button.

The refined list is now ready for export.

Clear the filtered list with the Clear filter button or refine your list by re-selecting the Filter button.

Export members

To export members:

  1. If you have already filtered the members list as outlined above, skip to step 3 below, otherwise go to the Members section of the backoffice Admin area and select the Members folder.
  2. You will be presented with the full member list in the right-hand edit area. If you don’t see the ‘Manage’ tab, you have selected the wrong member node. Ensure the ‘Members’ folder in the tree is selected and not the child nodes within it.
  3. Click the Export Members button.

  4. In the Export menu, choose the data you would like exported. You can export all or pick a data selection for output:

    Even without making a selection, the following data will always export:
    • Full name
    • Email
    • Member group
    • Approved status
  5. Choose the export format: Excel Spreadsheet (*.xlsx) or Comma Separated Values (*.csv)
  6. Click the Export button.

Member list reports

Membership list reports can be configured to be sent automatically to any email address on the 1st day of each month.

This is an Administrator setting (configurable in Site settings) and can only be configured by you if you have the appropriate Administrator credentials.

Active vs non-active members

Members who haven’t logged in within a 6 month period become expired and must request a membership extension.

To view a list of expired members or members who haven’t logged in recently, simply sort the member list by “Last login date”.

In the backoffice, go to the “Members” section and click “Refresh Members” (however, first read the note about large member databases above):

Once refreshed, click “All members” in the Member tree and click the “Last login date” to sort members by last login. Click it again to sort “latest to oldest”:

Note that any blank dates refer to members who have never logged in (e.g. the registration probably never fulfilled).
