Brand Toolbox allows you to export your entire member database to an Excel spreadsheet or CSV file.
The exporter allows you to filter your member lists by Member Group, Approved, Locked Out and Rejected statuses. You can then choose to export all properties or a specific property set.
Note – In order to export members, you must also be assigned to the Sensitive data User Group, as per the visual below.
If you are not assigned to this group, please contact your Admin team or your Brand Toolbox core contact for assistance.
A note before filtering and exporting.
In some instances, particularly on large member databases, the members list may not show all the latest member data.
Therefore, before filtering or exporting, it is usually beneficial to refresh the member database. We have provided a “Refresh Members” button to do this:
However, note that for large member databases (3,000+ members), rebuilding the database may take several minutes. Therefore, once the “Refresh Members” button is clicked, please wait until the page refreshes and reloads.

Before exporting, it may be useful to filter members into groups or membership status. For example, you may want to limit your export list to ‘active’ members only and not show ‘suspended’ members.
To filter members:
The refined list is now ready for export.
Clear the filtered list with the Clear filter button or refine your list by re-selecting the Filter button.
To export members:
Membership list reports can be configured to be sent automatically to any email address on the 1st day of each month.
This is an Administrator setting (configurable in Site settings) and can only be configured by you if you have the appropriate Administrator credentials.
Members who haven’t logged in within a 6 month period become expired and must request a membership extension.
To view a list of expired members or members who haven’t logged in recently, simply sort the member list by “Last login date”.
In the backoffice, go to the “Members” section and click “Refresh Members” (however, first read the note about large member databases above):
Once refreshed, click “All members” in the Member tree and click the “Last login date” to sort members by last login. Click it again to sort “latest to oldest”:
Note that any blank dates refer to members who have never logged in (e.g. the registration probably never fulfilled).
