Uploading images using the image uploader

Brand Toolbox can automatically and sequentially number images (see Automated image numbering), so there is no need to individually and manually name files. Images can be uploaded individually or in batch.

Note: The Image library only accepts JPG/JPEG, PNG, TIF/TIFFGIFSVG, BMP and WEBP files. Any other file format must be converted to JPG before adding to the library. Note that only JPG and TIF/TIFF images allow metadata changes (e.g. Keywords, Description, Copyright Notice, Photographer, Date/Time Taken) to be re-embedded into the EXIF/IPTC metadata of the image itself.

The originally uploaded file format (e.g. JPG, PNG, TIF) and colour space (RGB, CMYK) are kept as is for the Original file downloads. However, the smaller sizes are downloadable in RGB(JPG) only, and the custom size versions are exportable to RGB(JPG or PNG) only.

Both RGB and CYMK images can be uploaded to the library.

As of January 2023, layered Photoshop (PSD), PDF, EPS, AI and WMF/EMF files are still considered document assets and should be uploaded to the Asset library as artwork or document files. We are currently working on allowing these files to be uploaded and processed in the Photo library.
 

Batch uploading multiple images

  1. In the Media > Image library folder, select the folder where you would like to upload your images. 
  2. In the right hand content area, under the Content tab, simply drag ‘n’ drop multiple image files from your desktop into the upload area, or choose the ‘- or click here to choose files’ link.

  3. The Additional Meta Data slide out menu will appear, allowing you to enter image meta data in bulk. You can enter data into the Meta Data fields now or later. Note that entering data into the fields will overwrite any existing data that may be captured from the images themselves.

  4. In the Settings tab, you can choose to instantly publish the images or leave them unpublished while you continue editing data. Either way, remember to click Upload to complete the upload process.

  5. The Permissions tab reveals the member groups inherited from the selected folder node. To keep the existing selections, leave the inherited settings as is. To overwrite the member group settings, add or remove groups as required. Toggling on “Disable all access” keeps the settings BUT temporarily disables access. Remember to click Upload to complete the upload process.
     
  6. Note that the uploader will display a progress bar as it’s uploading, so please be patient until all images are complete. As well as uploading the original image, multiple size variants are created during the upload process.

The following tables describe each of the different Meta Data properties and how they function on upload.

‘Meta Data’ tab

Properties Description

Site Location

Free text field. No GeoLocation capability. Remains blank if left blank.

Description

Automatically extracts data from the image’s IPTC ‘Caption/Description’ meta data, if the element exists.

Copyright Notice

Automatically includes ‘© Client Name’ to watermarked images, by default. If adding an alternative statement, please precede with the © symbol.

Photographer

Automatically extracts data from the image’s IPTC ‘Creator’ meta data, if the element exists.

Date/Time Taken

The uploader will automatically extract the image create date from the image’s EXIF/IPTC meta data, if left blank here. However, you can override with your own date.

Project Brief Id

Add a photo shoot project or job number associated with a commissioned photographer brief or job request (optional). Leave blank if not needed.

Keywords

Automatically extracts data from the image’s IPTC ‘Keyword’ meta data, if the element exists. Enter keywords individually or copy/paste a keyword list, separating, keywords, and phrases, with commas.

Categories

Assign single or multiple categories. If no categories are assigned, the image will be assigned to the ‘Miscellaneous’ category. Note that an image must be assigned to at least one category to appear in the Photo library frontend.

Color Mode

If no colour is selected or detected, ‘Colour’ will automatically be added to the property. Ensure you select ‘Black and White’ for historic Black & White and greyscale/sepia-toned images.

Usage Restrictions

Enter any restrictions associated with image usage or licensing (optional).

Brand

Select the Brand or Subbrand associated with these images.

‘Settings’ tab

Properties Description

Publish Images

Checking this box immediately publishes the images and makes them viewable in the Photo library frontend. If you intend to continue editing meta data, leave this box unchecked.

Asset Usage Expiry

Setting an expiry date automatically archives the image on the date set.

‘Permissions’ tab

Membership Permissions (Can Download High Res)

Select the Member Group(s) permitted access to VIEW and DOWNLOAD all size variations of the image, including Original uploaded files, Large (2400px), Medium (1200px) and Small (630px) images. Includes the ability to crop and export images to pre-configured and Custom sizes.

Membership Permissions (Can Download Low Res only)

Select the Member Group(s) permitted access to VIEW and DOWNLOAD Medium (1200px) and Small (630px) images only. Requests for high resolution access can be made via the online request form.

Membership Permissions (Can Download Watermarked only)

Select the Member Group(s) permitted access to VIEW and DOWNLOAD Small (630px) Watermarked images only. Requests for high resolution and non-watermarked access can be made via the online request form.

Publishing an image

For an image to appear in the frontend Photo library, it must be published (or unpublished or archived for enabled Admin groups) and it must be assigned to a member group. Images can be published individually or in batch by setting the Published toggle to ‘Published’.

To publish the image and make it available in the frontend:

  1. Select the image in the Media > Image library section.
  2. Select the ‘Settings’ tab and click the toggle to Published.
